Funding Commitment Questions

How do I know what category type to choose?

Departments and programs will most commonly use the "Program/Admin Support" category to send funds to other units. You can find descriptions of each category on the  Definitions page  in this user guide.


Why can't I find sub-category _____?

If there is a subcategory you commonly use and you cannot find it in the system, please let your finance liaison know.


What does "Ongoing" mean?

Most funding commitments are not Ongoing. For example, a commitment based on a recruitment letter or a retention letter typically includes line items that are planned to occur in specific years. This means that the commitment has a known start year and end year.
An Ongoing commitment is more open-ended, with no specific end year known ahead of time, and may have additional line items added over time. This tends to make sense for certain types of administrative commitments.


Why can't I find a specific faculty member?

Make sure you have selected the right Department. If you select a department, the Recipient dropdown list will be filtered to Faculty who have an appointment in that department.


Why isn't my new PTA showing up?

We rely on overnight processes to get new PTAs loaded into the system. Please try again in a day or two. If the PTA is still not showing up, please reach out to the Finance team for assistance.


Will I get a notice when the Contingency end date arrives?

Currently, no.
However, you can use the Advanced Search feature to search for commitments based on contingency end dates.


On a Contingency, what does "Outstanding" mean?

An Outstanding contingency is waiting for some event or circumstance that has not occurred yet and the expected end date is not yet known.


I don't have a data source. What do I do?

All commitments should be justified by some type of written record. For example, a recruitment letter, retention letter, memo, email, etc.


What will happen after I create a commitment? Will I be able to edit, delete, or withdraw?

A&P Questions

How do I create a new A&P record?

This can be done by the Faculty Affairs team, once they know which faculty member will be appointed, reappointed, or promoted.

I received an email about a "comment" on an A&P File. What should I do?

These comments are used to help the H&S Dean's Office collaborate with departments and programs as the A&P File is put together and reviewed, before the file is ultimately sent to the provost's office.
Depending on what the comment says, you may be asked to provide some information, or upload a new/updated attachment file. Either way, the email should include a link to log into Handson and view the A&P File so that you can take the necessary action.



Search Request Questions

How do I submit a search request?

Once the annual search round is open, check the documentation for the  Search Request  module.


Who can submit a search request?

For departments, typically the Department Chair and the DFO.
For programs, typically the Department Coordinator and the AD.
Note, search request are typically submitted during the annual search round process. For off-cycle searches, please reach out to the Faculty Affairs team (find the  staff associate for your cluster ).


How will I find out if my requested searches are approved?

At the end of the annual search round process, the dean's office will reach out to each department or program that submitted requests.


How can I request changes to a carry-forward search?

During the annual search round process, Handson will automatically assemble a list of carry-forward searches for your department or program. If you would like to continue these searches as-is, no further action is required.
If you would like to request changes, such as changing the requested rank for a search, or canceling a search, please follow these steps:
    Log into Handson
    Open the Search Request module
    Open your department or program's search request packet for this year
    Find the search request that you would like to modify
    Next to that search request, click on the Flag icon
    You should see a popup prompt to describe your desired changes; fill out the requested fields.
    Click Submit
The Faculty Affairs team will review your request and get back to you.

Miscellaneous Questions

Why am I not able to download attachments?

We have identified two issues that may prevent users from downloading attachments:
    Some web browsers have an extension such as Adobe Acrobat that will use the extension to preview the PDF instead of downloading it. This behavior is part of the browser extension, not part of Handson.
    Some web browsers have a popup blocker enabled. Please check if you have any blocked popups for hs-handson.apps.us-2a.mendixcloud.com . If needed, you can allow popups on that domain.
